Roam Collective
Terms and Conditions
2027 Programs: June, July and August Collectives
Effective Date: September 24, 2026
These Terms and Conditions, together with the documents the Participant signs in connection with the booking (collectively, the “Terms”), form a binding legal agreement between the Participant and Ilo ApS, doing business as Roam Collective. Please read them carefully before confirming a booking. They are designed to ensure transparency, safety and a shared understanding between the Participant and the Company.
Roam Collective offers curated travel programs for families, including accommodation, cultural and community events, camp-based childcare and optional add-on services. By booking, the Participant agrees to these Terms.

1.9
“Participating Adult” means any Occupant who is not enrolled in camp and is not a Household Caregiver, other than an infant. 2. The Program and the Collectives
2.1
Roam Collective runs three Collectives in 2027, each in San Sebastian, Porto and Annecy. Dates, fees, camp hours, languages and Refund Cutoff Dates are in Schedule A. The body of these Terms applies to every Collective and Destination. If Schedule A and the body differ on a date, fee, hour or language, Schedule A controls.
2.2
The Program includes high-quality, centrally located accommodation; cultural and community events; immersive camp programming for children; and optional add-ons such as extended childcare and coworking.
2.3
Exact details of included events are subject to change based on a variety of factors, including the booked group’s preferences and interests.
3. Eligibility, Enrollment and Fees
Who can book
3.1
Camp age. The Program is designed for families with children of camp age. Camp is open to children from 4 months old. We recommend camp for children up to age 13, and older children are welcome to enroll.
3.2
Minimum enrollment. Each family must enroll at least one Enrolled Child in camp and at least one Participating Adult in the Community. The Participating Adult counted for this minimum must be a parent or guardian of an Enrolled Child. A group of adults only, or a group whose Children are not enrolled in camp (for example, a single adult traveling only with a baby too young for camp, or only with a teenager who will not attend camp), is not eligible to book.
3.3
Both adults enroll. Where two or more parents, guardians or partners travel together, each is a Participating Adult and pays the Community Fee. There is no option for only one of them to enroll.
3.4
Who is charged. A Child who is not enrolled in camp is not charged Camp Tuition. Children who are not enrolled are not supervised by camp and remain the responsibility of the Participant. An Occupant who is not enrolled in camp and is a Participating Adult (see clause 1.9) pays the Community Fee at the adult rate. A Child who joins camp pays Camp Tuition only and is not charged a Community Fee. A sibling must be an Enrolled Child for the family to meet the minimum in clause 3.2.
Fees
3.5
Camp Tuition is charged per Enrolled Child, at the weekly rate for the Destination in Schedule A, for the full Collective.
3.6
The Community Fee is charged per Participating Adult, at the weekly rate for the Destination in Schedule A, for the full Collective. It covers community events, planning and support, and is charged whether or not the adult attends a particular event.
3.7
Household Caregivers who do not join Community Events are not charged a Community Fee. They may attend the events that Roam Collective designates as open to guests, on the terms and any charges stated in the event calendar. Other events are for the Roam Collective community only. Household Caregivers count toward the Home’s maximum capacity.
3.8
Homes are priced by bedroom count and other factors, such as size and amenities. The price of each Home is the price shown on the booking site at the time of booking and forms part of the Total Booking Price. All Occupants count toward the Home’s maximum capacity, which is stated on the booking site. By booking, the Participant confirms that the number of Occupants will not exceed it.
3.9
Fees cover the full Collective. There is no pro-rating for late arrivals, early departures or missed weeks. Each Booking is priced at the rates of its own Destination and Collective, so a Participant who books different Destinations in different Collectives pays each Destination’s rate.
3.10
Currency and taxes. All prices are in euros and include applicable VAT and taxes.
What is included
3.11
Camp. Camp Tuition (per Enrolled Child) includes supervised care from Monday to Friday during the camp hours in Schedule A, dinner, and one snack per camp day. Lunch is not provided.
3.12
Community. The Community Fee (per Participating Adult) includes: opening and closing celebrations; one adults-only events each week; two family events each week; and high-touch travel support before, during and after the Program. Event attendance is optional, and missed events are non-refundable.
3.13
Home. The Home price includes: cleaning halfway through the stay; a fridge fill on arrival, with some customization to the family’s dietary needs and preferences; baby and toddler gear as needed (cribs, high chairs, stepstools, baby baths, potty seat, a set of diapers and wipes); inspection before arrival; and access to the optional add-ons.
What is not included
3.14
The following are not included in the Total Booking Price: flights to and from the Destination; travel insurance; airport transfers and car rental (a car is not necessary, but a Participant may choose one); meals other than the camp dinner and snack; and optional add-ons.
3.15
Optional add-ons at an additional cost include: extended childcare; travel concierge services and extracurricular activities outside those included in the Program, at exclusive Roam Collective rates; coworking space (Roam Collective will request group pricing at a selected space, and the Participant may choose a different one); and additional Home cleanings.
4. Booking, Deposit and Payment
4.1
Payment options. At booking, the Participant chooses one payment option for each Booking.
-
(a)
Pay in Full. The Total Booking Price is due at booking. It must be paid with a single payment method and cannot be split across multiple cards or bank accounts. Payment methods are those offered on the booking platform.
-
(b)
Pay in Installments. The Participant pays a deposit of 30% of the Total Booking Price at booking. The remaining balance is divided into equal, interest-free monthly installments, charged once a month starting the month after booking and ending in February 2027. A Booking made in September 2026 has five installments (October 2026 to February 2027). A Booking made later has fewer, and the final installment is always in February 2027. A Booking made in February 2027 or later must be paid in full. No interest, fees or surcharges are added for choosing installments.
4.2
Installment dates. Installments are charged on the dates shown in the Stripe payment authorization the Participant receives after booking. By submitting card details, the Participant agrees to the amounts and dates shown there.
4.3
Card authorization. After booking, Roam Collective will email a secure link from Stripe. The Participant must submit card details within 7 days, and the Booking is not confirmed until the deposit is received and card details are on file. If card details are not submitted within 7 days, Roam Collective may release the Booking, which is treated as a cancellation by the Participant under clause 5. By submitting card details, the Participant authorizes Roam Collective to charge that card for each installment on its due date. All installments are charged to a single card. The Participant must complete any authentication the card issuer requests, must keep the card valid and funded, and is responsible for any fees charged by their card issuer or bank, including currency conversion fees.
4.4
Failed payments. An expired or declined card, or a failure to complete authentication, is a failed payment. Roam Collective will notify the Participant, who then has 7 days to provide a new card or pay the amount due. If payment is not received in that time, Roam Collective may treat the Booking as cancelled by the Participant on that date, and clause 5 applies as if the Participant had cancelled on that date. Any amounts due under clause 5 remain payable.
4.5
Installments are a payment method. Installments only spread out payment. They do not change the Total Booking Price or the cancellation rules in clause 5. No installment may be skipped, deferred or reduced. The Participant may pay the remaining balance early at any time.
4.6
Multiple Collectives. Each Collective is a separate Booking, with its own deposit, payment plan and cancellation terms, and each is processed separately. Cancelling one Booking does not cancel any other.
4.7
Refunds. Refunds are issued to the original payment method within 14 days of the refund being approved.
5. Cancellation, Changes and Refund Cutoff
5.1
Deposit. At booking, the Participant pays a deposit of 30% of the Total Booking Price. Of the deposit, only the portion equal to 30% of the Camp Tuition and Community Fees is non-refundable. The rest of the deposit (30% of the Home price) is refundable under this clause. This applies whether the Participant pays in full or in installments.
5.2
Cancellation before the Refund Cutoff Date. The Participant may cancel a Booking by written notice received before the Refund Cutoff Date for the Collective booked. If the Participant cancels before that date, Roam Collective will refund all amounts paid for the Booking, including amounts paid toward the Home, except the non-refundable portion of the deposit in clause 5.1. Unbilled installments are cancelled. Cancellations must be submitted in writing to hello@roamcollectiveabroad.com.
5.3
After the Refund Cutoff Date. Beginning on the Refund Cutoff Date, the entire Booking, including the Home, is non-refundable. This includes early departures, late arrivals, missed weeks and missed components of the Program. Any unpaid installments remain due. A Booking made on or after the Refund Cutoff Date is non-refundable from the time of booking.
5.4
Removing an Enrolled Child or Participating Adult. Before the Refund Cutoff Date, the Participant may remove an Enrolled Child by written notice. Roam Collective will refund the amounts paid for that child’s Camp Tuition, except 30% of it, which is non-refundable unless Roam Collective chooses to waive it. Installments are recalculated. Where two or more parents, guardians or partners are traveling together, a Participating Adult may be removed only with Roam Collective’s prior written consent, and 30% of that adult’s Community Fee is non-refundable unless Roam Collective waives it. Removal is allowed only if the minimum in clause 3.2 is still met; removing the only Enrolled Child is a cancellation of the Booking. The Home cannot be partially cancelled. After the Refund Cutoff Date, no refund is given for any removal. Roam Collective may agree to different terms in a particular case, but that does not change these Terms.
5.5
Dismissal of an Enrolled Child. If the only Enrolled Child is dismissed from camp by Roam Collective under the Code of Conduct, the minimum in clause 3.2 is treated as met, and no refund is given.
5.6
Changes. Accommodation cannot be swapped after booking.
5.7
Travel insurance. Roam Collective strongly recommends that the Participant buy travel insurance covering medical care and trip cancellation and interruption for every Occupant, to protect their investment. Insurance is not required. Roam Collective does not provide insurance, and the Participant remains responsible for all costs not covered by any policy they choose to buy.
6. Pregnancy Deferral
6.1
Eligibility. This clause applies to Bookings for the 2027 Collectives only. A Participant may request deferral if a Participating Adult on the Booking becomes pregnant after the Booking is made and will be more than 24 weeks pregnant on the first day of the Collective, as shown in Schedule A. Roam Collective may ask for written confirmation of the estimated due date, such as a letter from a healthcare provider. We use this information only to assess eligibility and handle it as described in the Privacy Notice.
6.2
Notice deadline. Written notice must be received no later than the day before the Refund Cutoff Date for the Collective booked (see Part 1 of Schedule A). Notice received on or after the Refund Cutoff Date is not eligible for deferral. There are no exceptions to this deadline, including for medical complications. This is why Roam Collective strongly recommends travel insurance.
6.3
Effect of deferral. When Roam Collective receives a valid notice, unbilled installments are paused, and all amounts paid to date for the Booking, including the deposit and amounts paid toward the Home, become a credit on the Participant’s account.
6.4
Using the credit in 2028. The credit may be applied only to the Participant’s booking in the 2028 Roam Collective program. Roam Collective will hold a place for the family, subject to Roam Collective running a 2028 program, but does not guarantee a specific Home, Destination or Collective month. The credit is a fixed amount in euros, and no 2028 price is guaranteed. The Participant pays any difference between the credit and the 2028 booking total. The credit is applied first to the 2028 deposit and then to the balance, which the Participant may pay in full or in installments under the 2028 payment schedule. The normal minimum age applies to all children in 2028.
6.5
Unused credit. If the Participant does not use the credit in the 2028 Roam Collective program, or if Roam Collective does not run a 2028 program, the Participant may choose to apply it to an ILO Retreats trip. ILO Retreats is operated by the same company, Ilo ApS. If the trip costs less than the credit, the remainder stays as credit and may be refunded on the terms in clause 6.6.
6.6
Refund of unused credit. If the Participant cannot travel in the 2028 Roam Collective program or on an ILO Retreats trip, the Participant may request a refund of the unused credit, less 3.5% to cover card processing costs. The request must be made in writing more than 90 days before the start date of the 2028 Roam Collective program or ILO Retreats trip that the Participant was offered or booked, meaning no later than 91 days before that start date.
6.7
Cancellation instead of deferral. Instead of deferring, the Participant may cancel under clause 5, in which case the non-refundable portion of the deposit applies. A Participant who requests deferral may switch to cancellation only before the Refund Cutoff Date, and only once.
6.8
Separate Bookings. Each Booking is assessed separately. A Participant with more than one Booking may defer one and keep another. Shared Home Bookings are not eligible for deferral (clause 7.6).
7. Shared Home Bookings
7.1
One booking. Any Home may be booked by two families together as one Booking (a “Shared Home Booking”), provided the total number of Occupants across both families, including Household Caregivers, does not exceed the Home’s maximum capacity stated on the booking site. We expect that only larger Homes will be comfortable for two families. The family that makes the Booking is the “Lead Participant”, and each family in the Booking is a “Sharing Family”. A Shared Home Booking is one Booking. Every term about a single Booking applies to it as a whole, including payment, cancellation and the Refund Cutoff Date.
7.2
Enrollment and fees. The minimum enrollment in clause 3.2 applies to each Sharing Family separately. Camp Tuition and Community Fees are charged for each Sharing Family’s Enrolled Children and Participating Adults, for the full Collective, as in clause 3. No discount or surcharge applies to Shared Home Bookings.
7.3
Lead Participant and payment. The Lead Participant is the Participant for all purposes in these Terms and is the point of contact for both families. Roam Collective sends all notices, invoices and communications to the Lead Participant, and any notice or instruction from the Lead Participant is binding on both families. The Lead Participant is responsible for the full Total Booking Price. Roam Collective does not split payments or issue separate invoices, charges or refunds. If the other Sharing Family does not pay its share, or leaves, the Lead Participant remains responsible for the full amount. How the families divide costs is a private matter between them.
7.4
Cancellation. A Sharing Family cannot cancel, defer or leave the Booking separately. Any cancellation applies to the whole Booking, must be made in writing by the Lead Participant, and is subject to clause 5. Cancelling the Booking ends both families’ places, including the place of a family that did not choose to cancel.
7.5
Changes. Any change to a Shared Home Booking, including replacing one Sharing Family with another or changing who is enrolled, needs Roam Collective’s written consent. If a change reduces the number of Enrolled Children or Participating Adults, 30% of the removed person’s Camp Tuition or Community Fee is non-refundable, unless Roam Collective waives it, and no refund is given after the Refund Cutoff Date.
7.6
No pregnancy deferral. A Shared Home Booking is not eligible for Pregnancy Deferral, because the Booking cannot be split between families. A Participant on a Shared Home Booking who wants to stop may cancel under clause 5.
7.7
Acknowledgment and disputes. Each Sharing Family must have an adult sign the Second Family Acknowledgment in Schedule B before the Program begins. Both families are jointly responsible for the Home, including any damage or extra cleaning fees. Roam Collective is not a party to arrangements between Sharing Families and will not mediate disputes about costs, use of the Home or behavior.
7.8
Same Collective. A Shared Home Booking guarantees that both families are in the same Collective, Home and Destination. Roam Collective cannot guarantee that families who book separately will be in the same Collective, in the same Destination, or in nearby Homes.
8. Homes and Accommodation
8.1
Booking coordinator. Roam Collective acts as a booking coordinator, not the owner or lessor of the Homes. We work with trusted local property managers to secure high-quality accommodation. Home requests are matched as closely as possible to the Participant’s preferences, but we do not guarantee specific layouts, views or amenities.
8.2
Distance to camp. Roam Collective will place every Home within a 25-minute walk of the camp location for the Destination. Walking time is estimated using a standard mapping service under normal conditions at an average adult walking pace, and may vary with weather, terrain and pace, including when walking with children or a stroller. If a Home is farther than that, Roam Collective will offer another Home or discuss a reasonable solution with the Participant. The 25-minute commitment applies to camp only. Coworking locations are not guaranteed to be within a specific walking distance of any Home.
8.3
Locations. Camp and coworking locations for each Collective and Destination will be confirmed by Roam Collective before the Program begins. Roam Collective may change the camp or coworking location for operational or safety reasons, or if a venue becomes unavailable. If the camp location changes, Roam Collective will continue to place Homes within a 25-minute walk of the new location or, if that is not possible, offer a reasonable alternative such as a transport arrangement.
8.4
Occupancy and house rules. The number of Occupants must not exceed the Home’s maximum capacity. This includes parties and dinners with multiple families, which must not exceed it either. The Participant must keep noise at respectful levels, especially during quiet hours which are generally 10pm to 8am, and must not bring pets. No smoking is allowed inside the Home or on balconies. The Participant must inform every Occupant of these Terms.
8.5
Check-in and check-out. Check-in is at 4 PM and check-out is at 11 AM, unless the booking confirmation says otherwise. Early check-in may be available but is not guaranteed. Late check-out is not available.
8.6
Damage. The Participant is responsible for maintaining the condition of the Home and must report any damage immediately. Roam Collective pays a refundable damage deposit on the Participant’s behalf. Minor damage (small scratches, scuffs, minor wear) is covered by Roam Collective as normal use. For moderate or major damage (for example, broken dishes, damaged furniture, stained linens, structural damage or extensive stains), Roam Collective will contact the Participant to discuss responsibility, and the Participant may be charged the cost to repair or replace as billed by the property manager, under clause 14.
8.7
Unlivable Home. If a Home becomes unlivable, for example because of a water main break, a major leak or nearby construction, Roam Collective will make every reasonable effort to provide a comparable Home within a 25-minute walk of camp. Any further remedy is at Roam Collective’s discretion.
8.8
Consecutive Collectives. A Participant who books consecutive Collectives may keep the same Home and does not have to move between them [subject to availability]. Each Collective is a separate Booking. The night between two Collectives (the nights of June 26 and July 31, 2027) is not part of either Booking and is at the Participant’s own cost, whether the Participant stays in the same Home, moves to another Destination or stays elsewhere.
9. Camp and Childcare
9.1
Hours. Camp runs every weekday of the Collective during the hours stated for the Destination in Schedule A, in local time. Hours are designed to align with 8:00 AM to 3:00 PM US Eastern Time during the Collective dates. The local hours in Schedule A control if there is any difference. Roam Collective may adjust the camp schedule for local public holidays or staff availability, and will give as much notice as reasonably possible. Adjustments are not grounds for a refund unless camp is cancelled for more than 2 consecutive weekdays.
9.2
Supervision. Children are supervised only during camp hours, or during extended childcare booked through Roam Collective. Outside those hours, the parent, guardian or Household Caregiver they have designated is solely responsible for the child’s care and supervision. Roam Collective does not vet or supervise a family’s own caregivers.
9.3
Educators and language. Camp educators speak English and the local language of the Destination, and children hear both throughout the camp day. All camp educators are background-checked, have first aid training, work with low educator-to-child ratios, and speak English. Most are also bilingual in the local language, but not every educator is. The languages used at camp in each Destination are English and the local language stated in Schedule A. Roam Collective does not offer instruction in other regional or local languages.
9.4
No language guarantee. Camp is not a full-immersion or language-instruction program. It is designed to work for children with any level of experience in either language, from none to fluent. Children are exposed to the local language through play, songs, snacks and daily routine. Roam Collective does not guarantee that any child will learn, or reach any level of proficiency in, any language. No refund or credit is available on the basis of a child’s language progress.
9.5
Food. Camp Tuition includes dinner and one snack per camp day. Lunch is not provided. Roam Collective asks about allergies and dietary needs on the health form and takes reasonable care with the food provided. Because Roam Collective is not a food service provider, it cannot guarantee that food is free of allergens. Families of children with serious allergies may send their own food.
9.6
Medication. Roam Collective staff do not administer medication to any person. The only exception is a documented emergency where the person is incapacitated and emergency services have been contacted, in which case staff may administer emergency medication, such as an epinephrine auto-injector, as a last resort. Parents and guardians are responsible for all other medication needs before and after camp hours.
9.7
Illness. Children are expected to attend camp in good health and must stay home if they are unwell or may be contagious. No credit or refund is given for days missed because of illness.
9.8
Pick-up. Each child must be collected by the end of camp hours stated in Schedule A. Each Collective includes up to three pick-ups of no more than 15 minutes after camp ends without charge. After that, and for any pick-up more than 15 minutes late, Roam Collective may charge €70 for each late pick-up under clause 14. A pick-up more than 15 minutes late is charged the €70 fee, even the first time. Repeated late pick-ups may lead to removal from camp. Only adults listed as authorized on the intake forms may collect a child, unless Roam Collective is notified in advance.
9.9
Behavior. Roam Collective may remove a child who poses a safety or behavioral risk. No refund is given for a dismissal. The Code of Conduct describes how Roam Collective approaches behavior at camp.
9.10
Extended childcare. Roam Collective offers additional childcare outside camp hours for an extra charge. Hours, availability, providers and pricing will be shared closer to the start of each Collective. Extended childcare is arranged with independent providers, is not part of camp, and is subject to the terms accepted at the time of booking it.
9.11
Status. Roam Collective is not a registered educational institution.
10. Community Events
10.1
Community Events are open to Participating Adults, and to Children as stated in the event calendar. Household Caregivers and other guests may attend only the events that Roam Collective designates as open to guests, on the terms stated in the event calendar. Roam Collective will identify which events are open to guests when it shares the full event calendar.
10.2
Event attendance is optional, and missed events are non-refundable. Event-specific terms apply to any optional excursion the Participant books.
11. Health and Safety
11.1
Every Occupant must have a health form completed, provide emergency contact details, and disclose known allergies and medical needs, as part of the pre-departure process in clause 13.
11.2
In a medical emergency, Roam Collective will contact local emergency services (112 in all three Destinations), follow local medical protocols and notify the parent or guardian as quickly as possible. Roam Collective does not employ a nurse, physician or other licensed medical professional as part of its program staff. The Medical Liability Waiver describes the medical support Roam Collective can and cannot provide.
11.3
Travel to and from medical facilities, and the cost of medical treatment, are the Participant’s responsibility. Roam Collective strongly recommends comprehensive travel insurance that covers medical care and trip cancellation and interruption for every Occupant. Insurance is recommended and is not required.
12. Travel, Visas and Legal Compliance
12.1
Each Occupant is solely responsible for holding the passports, visas, entry authorizations and work permits needed to enter, stay in and, if applicable, work remotely from the Destination for the full Collective. This includes Household Caregivers and children. Requirements vary by nationality and employment type. Roam Collective does not monitor, check or verify these documents and does not provide legal, immigration or visa advice. Being refused entry, or having to leave early, for any visa or documentation reason does not entitle the Participant to a refund or credit.
12.2
Participation while working remotely from a foreign country may be subject to local labor and immigration laws. It is the Participant’s responsibility to comply with all regulations based on employment type and home country.
12.3
A nanny, au pair or other caregiver working abroad may need their own visa or work permit. The Participant is responsible for this.
12.4
Spain, Portugal and France are all Schengen countries. Many visa-exempt travelers, such as US citizens, may stay in the Schengen area for only 90 days in any 180-day period, and the three Collectives together (May 29 to August 29, 2027) span 93 days. A Participant who books more than one Collective should check the rules that apply to every Occupant, including new entry and travel authorization systems.
12.5
The Participant is responsible for booking their own flights and travel insurance. Roam Collective will advise on logistics for getting to the Destination.
13. Pre-Departure Requirements, Code of Conduct and Removal
13.1
Pre-departure. After booking, and before the Program begins, the Participant and every Participating Adult must complete Roam Collective’s pre-departure process. This includes the health and emergency contact forms, the Code of Conduct, the Privacy Notice acknowledgment, the Medical Liability Waiver and the media form. Consent to promotional use of photos is optional and does not affect participation. Camp attendance and check-in to the Home may be refused if these are not completed by the deadline stated in the pre-departure materials, and this does not entitle the Participant to a refund. Household Caregivers sign an acknowledgment.
13.2
Code of Conduct. The Code of Conduct sets expectations for behavior and is not a separate contract. These Terms control payments, refunds, liability and disputes. If the Code of Conduct and these Terms conflict on those subjects, these Terms control. Each adult in the Booking must sign the Code of Conduct.
13.3
Removal. Roam Collective may remove any person from the Program following the process in the Code of Conduct, or immediately for serious misconduct as defined in it. No refund is given for a removal, and the Participant is responsible for all costs of the removed person’s departure, including flights, transfers and alternative accommodation.
13.4
Voluntary departure. If a Participant or family chooses to leave the Program early for any reason, including emergencies, illness, dissatisfaction or change of circumstances, no refund is given for the unused portion. Any insurance claim is between the Participant and their insurer.
14. Additional Charges
14.1
Roam Collective may charge the Participant’s card on file, or invoice the Participant, for late pick-up fees, damage to the Home beyond normal wear and tear, and utility use above the monthly amount in clause 8.7. Roam Collective will give written notice with details of the charge. By booking, the Participant authorizes these charges. Minor wear and tear is not charged.
15. Interruptions, and Changes or Cancellation by Roam Collective
15.1
Interruptions. Roam Collective may need to interrupt a Program because of force majeure, safety concerns or similar events. Roam Collective will use reasonable efforts to reduce the impact. The Participant is responsible for additional costs caused by the interruption, such as travel, accommodation, food and drink, and may be able to claim some of them from travel insurance. No refund is given for an interruption for missed days or weeks.
15.2
Cancellation by Roam Collective. If Roam Collective cancels a Collective in a Destination before it begins, it will refund all amounts paid for the Booking in full, including the deposit.
15.3
Adjustments. Roam Collective may adjust any portion of the Program because of low enrollment, safety issues or logistical barriers, and may substitute activities or providers with similar offerings.
15.4
Third-party costs. Roam Collective is not liable for third-party costs, such as flights, insurance and visas, if the Program changes or is cancelled.
16. Liability, Assumption of Risk and Insurance
16.1
Limits on liability. To the maximum extent permitted by law, Roam Collective is not liable for: accidents, injuries or losses during travel, in the Home or at Community Events; lost or stolen items; weather events, travel delays or other force majeure; or actions or errors of third parties, such as airlines, taxi services, healthcare providers and independent extended childcare providers.
16.2
Assumption of risk. The Participant acknowledges that travel and the activities in the Program carry inherent risks, including slips, trips and falls, indoor and outdoor activities, native insects and wildlife, recreational equipment, infection risks and other risks not stated. To the maximum extent permitted by law, the Participant assumes those risks, agrees to take reasonable precautions, and agrees to follow any reasonable rules posted at the Home. Roam Collective is not responsible for interruptions beyond its control, such as construction noise, inclement weather, and electricity, water or internet outages.
16.3
What is not excluded. Nothing in these Terms excludes or limits Roam Collective’s liability for intent or gross negligence, for death or personal injury to the extent that liability cannot be excluded by law, or any right a consumer has under mandatory law, including package travel rules.
16.4
Occupants. The Participant is responsible for the conduct of every Occupant and for any damage they cause.
17. Media Release and Privacy
17.1
Roam Collective collects photo and video consent, and the personal information needed to run the Program, through the pre-departure process. Roam Collective will not use images of any person for promotional purposes except as permitted by the consent form signed by that person or, for a child, by their parent or guardian. Personal information, including health and pregnancy information, is handled as described in the Privacy Notice.
18. Governing Law and Disputes
18.1
These Terms, the Code of Conduct, the Medical Liability Waiver and the Privacy Notice are governed by the laws of Denmark. This does not remove consumer protections that apply by law in the Participant’s country.
18.2
Disputes are resolved first by good-faith mediation and then, if unresolved, by arbitration as governed by Danish law.
19. General
19.1
These Terms, Schedule A, Schedule B and the documents signed under clause 13 are the whole agreement about the Program. The Code of Conduct governs behavior. On payments, refunds, liability and disputes, these Terms control.
19.2
If any provision is found unenforceable, the rest continues in full force and effect.
19.3
Roam Collective may update these Terms. The version in force when the Booking is made applies to that Booking. Notices are sent to the email address on the Booking.
20. Acceptance of Terms
20.1
By submitting a Booking and paying the deposit, the Participant confirms that:
- they have read, understood and accepted these Terms;
- they are responsible for every Occupant in the Booking, including their spouse or partner, children, Household Caregivers and guests, and will inform each of these Terms;
- they release Roam Collective, Ilo ApS and its partners from liability as set out in clause 16; and
- every adult in the Booking will sign the Code of Conduct and Medical Liability Waiver before the Program begins.

Part 5: Notes for families booking more than one Collective
- Each Collective is a separate Booking with its own deposit, installment plan and cutoff date (clause 4.6).
- The night between consecutive Collectives (June 26 and July 31, 2027) is not part of either Booking and is at the family’s own cost (clause 8.9).
- Schengen: all three Collectives together span 93 days, which is more than the 90 days allowed in any 180-day period for many visa-exempt travelers (clause 12.4).
- Pregnancy deferral applies Booking by Booking, and not to Shared Home Bookings (clauses 6.8 and 7.6).
